Qualifications:
- Proficiency in Microsoft Office including Word, Excel and PowerPoint, Outlook and Photoshop.
- Creative problem solving skills.
- Strong communication skills: verbal and written.
- Ability to interact successfully with both agents and external customers at all levels.
- Basic math skills which include addition, subtraction, multiplication, division, percentage, fractions and the ability to calculate commissions, interest and discounts.
- Ability to multi-task, prioritize and be flexible with changing business needs in a team environment. Also, must understand tasks and offer ideas to improve processes and performances.
- Working knowledge of computers, office equipment and standard office procedures.
- Type’s correspondence for management/team including word processing/letters, memos and forms.
- Preferably have background in real estate industry.
- Main contact for telephone coverage (i.e., answers phones for management/team, takes messages, refers callers on accordingly.)

Essential Duties and Responsibilities:
May include but are not limited to:
- Manage all office administration tasks and cross-training, including general, office and business supply orders, equipment maintenance, maintain files (inclusive of Iron Mountain file storage & security) and oversee general office appearance and repair issues.
- Assist Branch Manager in recruiting, training, and scheduling; act as back-up for all other support positions.
- Provides back-up telephone coverage (i.e., answers phones for management/team, takes messages, refers callers on accordingly.)
- Assists in compiling packages of pre-determine materials.
- The ability to work positively and with poise in a team environment.
- Provide desktop support to the office; train sales associates on office technology and telephones; identify problems and implement fixes with office software.
- Manage branch accounts payables and receivables, obtain necessary approvals and submit to regional accounting office; process expense reports.
- Act as a back-up when sales associates come on board and process paperwork upon hiring; order business cards, name badges; assist with preparation of buyer packets; provide consistent level of support in the processing of all transactions.
- Train sales associates on phone and other office systems.
- Maintain pending sales and closings in Trident, audit and maintain related records of listings, contracts and closings; review files to make certain that all necessary documents and approvals are included; gather and communicate information for settlements to attorneys and accounting staff; process sales transactions. Cross-train and be a back-up on listings and recruiting processes.
- Manage MLS and company websites including: enter HomeBase, Trident and other company policy Intranet/extranet web tools.
- Adapts and is flexible with responsibilities according to market conditions or company policy adjustments or enhancements.
- Visibly takes pride in appearance by dressing professionally, completes work entirely and accomplishments tasks delegated.
- Takes care of phone and other office systems within the location.

- Ensures timely and effective follow-up and high quality of service to agents and outside customers/clients.
- Continually seeks out ways to improve service to customers and clients.
- Always greets the public with a smile.
- Offers to help to accomplish tasks or objectives by directing to the correct person or asks Branch Manager for assistance in knowing how to handle.
- Offers ideas of solutions when obstacles arise.
