The Office Manager reports to the Director, University Advancement and provides administrative support to areas such as community relations, marketing, media relations, special events, and government relations. This position is housed in a fast-paced and energetic. Essential Responsibilities are: 1) Plan, prioritize and schedule meetings and appointments for the Director and other management. Make decisions on a daily basis regarding calendars. Proactively schedule meetings based on knowledge of the community and university objectives. Arrange and coordinate travel and travel reimbursement for staff. 2) Perform specialized administrative duties required to support the department, using discretion to make judgments based on operating guidelines. Support purchasing requirements for department, researching items and obtaining price quotes, entering information into university systems, receiving purchase orders, coordinating payment of invoices and maintaining P-Card information as required. 3) Assist with the planning and coordination of various high-level special events. 4) Compile and maintain data and records. 5) Perform other administrative duties as required to support mission and function of the unit.
Minimum Qualifications (Education & Experience):
This position requires a high school diploma or equivalent, with six years of experience in office or administrative positions. Appropriate college coursework or vocational/technical training may substitute at an equivalent rate for the required experience.
Preferred Qualifications (Education & Experience):
At least a bachelor's degree in appropriately related field (e.g. Business Administration, Communications, Public Relations); 5 or more years of experience in an office administrative support or administrative professional position.
Special Skills/Licenses/Training/Certifications Necessary:
Requires high-level communication skills and use of professional judgment in communication; requires respect for confidentiality of information. Ability to compile data and create documents, prioritize work assignments, and multi-task. Advanced level proficiency in the use of standard desktop applications, including the ability to produce documents, web content and presentations of all kinds using word processing, spreadsheet and presentation software tools. Ability to operate standard office equipment. Prefer a typing speed of 55 cwpm or better.
