We are currently seeking an Office Manager for our Children's program in Lawrence, MA.
SUMMARY
The primary role of the Office Manger is to supervise employees and activities for the efficient administration of the department/program. The Office Manager coordinates administrative support and related office operations directly and serves as central information point within department/division.
ESSENTIAL JOB FUNCTIONS

- Monitors workflow and productivity to evaluate office performance. Takes corrective action to ensure the efficient and efficient flow.
- Coordinates work performed in support of one or more offices and departments.
- Coordinates production of documents such as letters, statistical reports, public presentations/information materials and schedules work.
- Acts as central contact for disseminating information from departments, offices, states and regions.
- Assists in the preparation and maintenance of contracts and contract proposals.
- Acts as a liaison with building management to assure productive work environment including office cleaning, security, safety and building maintenance. Resolves any issues as required.
- Coordinates space planning, lease formalities, office automation, operational matters such as building maintenance/repair, office equipment and purchasing.
- Oversees the maintenance and alteration of office areas and equipment, as well as layout, arrangement and housekeeping of office facilities.
- Coordinates basic set-up and maintenance of office personal computers and associated equipment.
- Maintains and develops relationships with vendors, including getting quotes or “Corporate” discounts.
- Organizes, plans and attends department/program meetings, retreats, trainings and events.
- Assists with Human Resource related tasks including interviewing, hiring, orientation, and training and performance evaluations.
- Directs, guides, motivates and provides leadership over assigned staff.
- Fosters teamwork among staff and the effective integration of efforts with network-wide initiatives.
- Conducts periodic employee meetings, which include feedback on office performance, problems and issues to foster process improvements. Provides effective direction, guidance and leadership over the staff for effective teamwork and motivation.
- Coaches and counsels employees to encourage exceptional performance and improvement in areas of individual weakness and provides performance goals as well as career development goals .
- Assists in the coordination of strategic projects as warranted, and collaborates with other departments to implement programs or procedures to meet the needs of the department or office.
SUPERVISORY RESPONSIBILITIES
Directs and supervises assigned personnel including performance evaluations, scheduling, orientation and training. Makes recommendations on employee hires, transfers, promotions, salary changes, discipline, terminations and similar actions. Resolves personnel problems within position responsibilities.
