About the Job

What you will do

The Office Manager is responsible for all facets of general office management of the Johnson Controls/Triatek facility in Norcross, GA.

How you will do it

Responsibilities include the following. Other duties may be assigned as future business needs arise.

Leading smooth operation of the office while helping to improve company procedures and day-to-day operations

Sage ERP maintenance and support, including:

o Customer & vendor additions/deletions and contact information updates

o Qualifying new customers for credit-worthiness

o Setting up credit accounts with vendors

o Receipt of goods entry

o Recording material obsolescence, scrap, and other adjustments

o Periodic cycle count, quarterly physical inventories, and associated reconciliations

o Expediting purchase orders as needed

Coordination of building maintenance and supplies, including:

o Ordering/stocking kitchen and other facilities supplies

o Purchasing manufacturing consumables such as packaging material and other off-the-shelf manufacturing supplies

o Managing cleaning crew

o Coordinating with other building service providers as needed

Managing certain accounts receivable (AR), accounts payable (AP), P&L, and GL processes in conjunction with Johnson Controls accounting and finance teams, including:

o Logging supplier invoices (mailed and emailed) into Sage ERP

o Running weekly AP summaries and obtaining written General Manager approval for all invoice payments

o Executing payments in online banking tool and logging payments into Sage ERP

o Collecting payments for past due invoices

o Monitoring and reporting abnormal sales margins

o Capturing, recording, and reporting warranty costs in conjunction with Service team

o Reporting purchasing variances

o Generating and emailing daily sales (booking and shipping), AP, AR, and credit reports

o Managing eCertify with Chamber of Commerce for international shipments

o Creating pro-forma invoices

o Reconciling bank accounts and delivering deposits to the bank

o Processing credit card payments

Liaising with Johnson Controls HR, including routing Kronos time sheets for salaried non-exempt employees on an interim basis

Assisting with other general office administration duties, including:

o Coordinating visits for training sessions or other on-site events, including ordering meals or supplies as needed

o Serving as on-site point-of-contact for visitors

o Distributing general communication on behalf of the General Manager or corporate office

o Answering/routing incoming calls as needed and with assistance from other employees

Providing weekly updates to General Manager on any open office-related items requiring escalation or oversight

Education and/or Experience                   

At least six to eight years of experience working in a general office manager role for a small- to medium-sized business.  Associate’s or Bachelor’s degree in a related field is preferred.

Language Skills                   

Ability to read, write, analyze, and interpret general office communication, both through email and through written correspondence.  Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

Mathematical Skills                   

Ability to calculate figures and amounts such as purchase price, sales price, discounts, and margin, as well as an understanding of basic to intermediate accounting principles.  

Reasoning Ability                   

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Computer Skills                   

To perform this job successfully, an individual must have knowledge of the Microsoft Office suite, with a focus on Word, Excel, and Outlook.  A prior working knowledge of Sage ERP or a similar ERP is also required.
