We are looking for someone who can proactively organize and coordinate office operations and procedures in order to ensure organizational effectiveness and efficiency. Manage Office Support staff and provide help to other Corporate Services areas such as Accounting and HR as required. Duties: · Organizes and proactively manages office operations and procedures. · Acts as prime interface with SPS for phones and Analysys for Computer and Server operations. · Acts as FSO for Company, runs Security Clearance Checks, secures files and keeps abreast of ongoing changes needed to protect the company facility clearance · Supervises Office Support Specialist and provides goal setting, coaching and counseling to the employee. Also plans, monitors, and appraises job results. · Provides support to HR and Accounting departments as needed including assisting in New Hire process and Employee office and equipment set up. · Handles all Company event and travel planning for both clients and employees including award trips and President’s Club. · Defines and implements procedures for retention, protection, retrieval, transfer, and disposal of records. · Maintains office efficiency by planning, implementing and maintaining office systems, layouts, and equipment procurement. · Contributes to team effort by accomplishing related results as needed. Skills/Qualifications: Must Haves: · Associates Degree with 3-5 years experience as an Office Manager or Executive Assistant · Knowledge of office administration · Knowledge of the duties of an FSO with the ability to get cleared or transfer an existing clearance. · Excellent interpersonal and Team building skills · Analytical and problem solving skills · Excellent Verbal, Listening, and Written Communications skills · Attention to detail and a high level of accuracy · Excellent Computer skills Particulartly in Microsoft Word, Excel, PowerPoint and Outlook · Time Management skills Like To Haves: · Bachelor’s Degree with 5-7 years experience as an Office Manager or Executive Assistant · Experience working as an FSO in a growing company (active security clearance) |
