General Purpose/Summary of Job:
The Office Services Coordinator is the first point of contact for KnowledgePoint360 and is responsible for managing visitors including clients, vendors and job candidates, and answering all incoming calls from the multi-line switchboard, in a professional and efficient manner. The receptionist is also responsible for a variety of clerical duties that support office services as well as administrative support. This position requires strong communication skills and a great customer service attitude.
Primary Duties and Responsibilities:
· Greet visitors and ensure arrivals/departures are logged
· Transfer/route all switchboard calls and take messages as needed
· Maintain and update reception/switchboard handbook of staff and instructions
· Maintain and update floor plans, employee location worksheet, vehicle identification worksheet
· Work closely with office services regarding work tickets for general office maintenance and security
· Work with office services manager to coordinate information for Incident Recovery
· Book meeting rooms on request
· Assist with administrative tasks
· Process incoming packages
· Support the self-service mailroom
· Perform additional duties as requested
Job Qualifications:
· Strong customer service and interpersonal skills
· Proficiency with all features of the telephone and voicemail systems
· Good organizational skills
· Self starter with self management qualities
· Computer skills including knowledge of Microsoft office products
Education/Experience:
· High School diploma or GED is required
· Minimum 1-2 years responsibility in a receptionist/switchboard role
