Position Summary: Primary responsibilities are to maintain the high professional image of Sirius to visitors by acting as the phone attendant and greeting visitors in a professional manner.  This position also provides general office support. This is a part-time, 20 hour per week position providing support to our Houston, Texas regional office.   The anticipated work hours are 10:00 am - 2:00 pm, Monday - Friday.

 

Essential Duties & Responsibilities:

The following duties and responsibilities are intended to be representative of the work performed by the incumbent(s) in this position and are not all-inclusive.  The omission of a specific duty of responsibility will NOT preclude it from the position.

·Operates telephone system to direct incoming and interoffice calls

·Greets visitors/customers in a courteous manner and announces their presence to the appropriate party

·Handles in-coming and out-going mail, and service to the postage machine

·Oversees general office administrative duties, including office equipment maintainence, schedules conference calls, runs occasional errands and purchases miscellaneous office & kitchen supplies, updates postage machine and meter servicing,  orders office supplies and interacts with supply vendors as needed, distributes faxes

·Track office seating and serve as liaison with the corporate office to obtain approval

·Facilitate the scheduling of professional certification testing including

·      Site identification

·      Travel Planning

·      Follow-up to ensure submission of certificate documenting test results

·Provide orientation and set-up for new employees

·      Benefits Overview

·      Desk set-up

·      Following-up on computer set-up

·Assist with exiting employees

·      Coordinating return of property

·      Serve as liason for IS and HR to communicate status of separation (turn off computer access, etc)

· Coordinate special events

· Provide administrative support for executive management as requested, such as creating spreadsheet reports and general correspondence

· Coordinates room set up for meetings, including meals and supplies

·Develops and maintains communication in a cooperative and professional manner with all levels of staff and customers by:

·      Communicating openly, honestly and constructively

·      Treating all employees and customers with dignity, respect and courtesy

·      Taking responsibility for and making every effort to resolve communication, trust and respect concerns

·      Asking for information needed to perform job responsibilities

·      Complying with all Employee Handbook and company procedures

·Other duties and projects as assigned

 

Knowledge and Skills:

·Knowledge of office practices, procedures and equipment

·Must be detail oriented and possess strong follow-up skills

·Working knowledge of Intertel phone system a plus

·Superior human relations skills to deal effectively with visitors/customers both direct and over the telephone.

· Minimum of two years in similar position with switchboard experience

·Working knowledge of MS Word and Excel software applications, Lotus Notes experience a plus.

·Ability to handle multiple tasks

 

Education:

·High school diploma, or equivalent work experience

 

Physical Requirements:

·General office environment

·Heavy telephone use daily

·Lifting and carrying 15 lbs.
