Payroll/Accounts Payable Assistant - Finance

Our internal Finance team is now hiring a Payroll and Accounts Payable Assistant to work in our Madison, WI office.


Perform accounts payable duties. 
    • Code and record accounts payable invoices. 
        o Code by team name/account number into Microsoft Dynamic Nav 5.0 (Microsoft Navision) 
    • Perform firm payable check process. 
        o Enter all invoices into Navision. 
        o Generate approved to pay report and have approved by Finance Manager and Senior Accountant. 
        o Print check run through Navision. 
        o Copy each check and match check to invoice. Mail checks to appropriate vendor. 
    • Gather and maintain W-9s for 1099 processing 
    • File monthly sales and use tax returns 
    • Respond to information requests about paid expenses and invoices. 

Perform payroll duties for firm. 
    • Maintain payroll information in ADP. 
        o Update employee records when needed. 
        o Pay bonuses or severance when needed. 
        o Calculate employer contribution to workers compensation and disability payments. 
        o Process manual checks through p/r system as needed. 
    • Resolve discrepancies through collection and analysis of information within payroll system. 
    • Process bi-weekly payrolls 
    • Prepare reports for firm of employee earnings, taxes, deductions, and employers’ contribution of   social security and unemployment. 
    • Maintain confidence of employee by keeping all information confidential. 
    • Run ad hoc queries as needed. 
    • Assist with department projects.


Provide administrative and office support. 
    • Respond to information requests about payroll questions and general inquiries. 
    • Provide general office functions to support the Finance Department.

Maintain and expand knowledge base in area of expertise. 
    • Comply with continuing education requirements; participate in professional organizations, independent study, etc. 
    • Integrate new knowledge and skills into daily work and share with colleagues as appropriate. 
    • Maintain current knowledge of local, state and federal practices and laws.

Other duties as assigned. 



High school diploma with a minimum of three (3) years experience in accounting or payroll; an Associate’s degree in a business related field with at least one (1) year experience. Experience with ADP, multi-state payroll, sales and use tax or 1099 processing are preferred.

Demonstrated problem solving, organization, interpersonal, project management, communication and solid Microsoft Suite skills (Excel) required.

Ability to provide exceptional client service, demonstrate commitment to continuous learning, display appropriate ethical knowledge and commitment and exhibit a sense of urgency and commitment to quality and the timely completion of duties.

Keen sense of accuracy and attention to detail, as well as ability to follow directions / procedures required, as well as work in a fast-paced, time sensitive environment with frequent interruptions.
