Responsibilities:
· Before anesthetist commences service at facility ensure anesthetist is properly credentialed with the Medical Center
· Ensure all new anesthetists employed by Somnia at HGH are properly oriented including but not limited to:
o Receipt of Medical Center ID
o Training in utilization of medication dispensing unit (PYXIS) along with ID set up
o Receipt and Completion of Somnia Benefit Documents
o Training in completion of billing documents, anesthesia record, QA form, consent forms and other pertinent documents
o Receipt and training in utilization of blackberry, beepers and other devices as required by Somnia or Medical Center
o Process for obtaining OR and Call schedules
o Process for submission of PTO
o Receipt of Listing of contact numbers for appropriate personnel
o Other training and
· Ensure additional certifications are obtained by anesthetists performing procedures requiring additional training (i.e. – ultrasound utilization for acute pain management)
· Serve as Somnia interface with anesthetists to ensure all requests from administrators for anesthesia records, scheduling requirements, etc… are addressed
· Serve as the Somnia interface with C-level personnel at HGH attending meetings and addressing issues as needed
· Serve as the Somnia interface with medical personnel outside of the anesthesia group (i.e.- nursing, surgical staff) attending meetings and addressing issues as needed
· Serve as the primary interface with Somnia personnel at HGH attending meetings and addressing issues as needed
· Identify and document the most effective manner to reconcile charts received from anesthetists with OR schedules at all sites.
· On a daily basis collect anesthesia records from all sites coordinating with respective anesthesia administrative staff ensuring ALL anesthesia services are accounted
· Ensure all anesthesia records are scanned and received at Somnia headquarters within 48 hours of DOS from all sites at HGH
· Perform audits at both sites to ensure 100% collection of all anesthesia records and appropriateness of documentation requirements by:
o Checking ALL points of anesthesia services for schedules including:
§ Cases performed in all ORs
§ Cases added-on to OR schedule (elective or emergency)
§ Cases performed outside of OR (i.e.- intubation, line placements)
§ Acute and Chronic Pain Management Cases (i.e. – nerve block, continuous epidural catheter)
o Comparing schedules provided at ALL points for anesthesia services with charges submitted by all physicians
o Comparing reports from Somnia headquarters comparing cases performed at Medical Center with cases entered into billing system
· Address all revenue management issues and questions with anesthesia administrative staff at locations and appropriate personnel at Somnia headquarters
· Schedule and coordinate regular meetings with Somnia Billing Manager to review collection activity in accordance with projected collections
· Address any on-site administrator issues and follow-up to ensure requests or questions are addressed in a timely manner
· Work with Chairman or identified anesthetist to ensure Daily OR Assignments are created and disseminated to anesthesia administrative staff and anesthetists in a timely manner
· Review the OR anesthetist schedule for errors including:
o Assignment of one individual in multiple locations
o Assignment of anesthetist absent
o Assignment of anesthetist to a room closed
· Work with Chairman or identified anesthetist to ensure CALL schedules are created and disseminated to anesthesia administrative staff and anesthetists in a timely manner
· Ensure administrators are posting Daily Anesthetist Room Assignments and CALL Schedules in software designated by Somnia
· Trouble shoot any problems and issues with the utilization of scheduling software
· Hold meetings (daily, weekly, monthly, etc…) as felt appropriate with on-site administration to address issues including but not limited to:
o Ensuring all charts are accounted and delivered to headquarters
o Ensuring all charts are reconciled with appropriate schedules
o Ensuring all issues are addressed with anesthetists
o Ensuring all schedules for daily room assignments and call schedules were properly disseminated in a timely manner.
· Answer questions from anesthesia staff including but not limited to:
o Employee benefits
o Documentation questions pertaining to anesthesia records
o Scheduling requests
o Vacation requests
· Perform yearly appraisals of anesthesia support staff
· Schedule meetings (weekly, bi-monthly, ad-hoc) with COO or individual designated by COO to discuss items including but not limited to :
o Manpower Needs and Issues
o Revenue Management Issues
o Administrative Needs and Issues
· Devise and maintain all policies and procedures for the anesthesia department at Bayonne Medical Center
· Ensure all QA forms are collected from all sites and reported
· Review findings of QA report on a quarterly basis with the CMO of Somnia and pertinent individuals at HGH
· Provide recommendations to improve overall operations of HGH’s Anesthesia Department including but not limited to:
o IT enhancements
o Communications with staff within and outside Anesthesia Dept
o Revenue Management
o Quality Assurance Programs
· Serve on special projects as needed for Somnia at other facilities nationally
