SUMMARY:
Site Manager for a busy OBGYN practice located in Swampscott. The Site Manager is responsible for leadership, oversight, and improvement of all practice operations, functions, expenses and staff throughout the assigned site. These functions include: medical and office supply material management, patient contact and communication, patient demographic and insurance information collection and confirmation, site-based facility management, CPT coding and charge capture and entry, patient flow, telephone triage, medical information management, provider support, and office based diagnostic testing. The Site Manager acts as a liaison between the site-based practice staff, Administrative Director, Central Business Office and the physicians of the site for office wide communication and coordination of new initiatives and issue resolution.
PRIMARY RESPONIBILITIES:
- Provides day to day supervision of site-based support staff
-- Provides timely and effective overall leadership, work coordination, orientation and training of site-based staff.
-- Schedules all site based support staff for work area assignments, ensuring adequate provider and patient support at the assigned practice site at all times.
-- Identifies cost-justified personnel needs and recruits, screens, hires, trains, and evaluates qualified staff in accordance with CPSC policies and procedures.
-- Encourages and arranges for staff professional development, facilitates staff-related problem resolution, and disciplines staff as needed.
-- Maintains staffing levels within budget or directed levels.
-- Working with the Administrative Director and Training Department, establishes and executes training modules for new employees and site-specific policies and procedures with existing employees.
-- Researches physician needs and implements appropriate daily nurse and medical assistant protocols and schedules so that providers are supported to maximize the efficiency and effectiveness of the site while remaining patient focused.
- Provides patient care and administrative support, as appropriate
-- As training and licensing permits, performs the duties of any of the support staff positions in a competent manner as needed for uncovered practice support needs.
-- In conjunction with physicians, provides effective and prompt intervention, direction and resolution in patient care problems and complaints.
-- In collaboration with physicians and support staff, oversees and manages physician scheduling and templates.
-- Performs routine front desk tasks competently and cheerfully as needed, including patient check-in, patient checkout, cash balancing and closing procedures.
-- Maintains patient confidentiality at all times.
- Provides leadership and oversight in all site operations to facilitate excellent patient care and support efficient provider, billing and collection functionality.
Maintains day to day awareness of site-related problems and concerns;
resolves based on established protocols and good management judgment.
-- Proactively evaluates site periodically for opportunities for improvement. Participates in and leads teams and other quality improvement initiatives. Works with staff and providers to design and implement system changes.
-- Keeps staff informed of site-related and other changes and news going on throughout the organization.
-- Provides day to day facility management and oversight, monitoring the physical environment and calling in appropriate resources to address problems with telephones, lighting, electrical, telephone and other facility systems
-- Interfaces with the Central Business Office for the site to monitor Front End Revenue Cycle and
-- Performs other duties as assigned by Administrative Director/Site Medical Director and other Charter management personnel.

11. Possesses solid health care experience and applies this knowledge in decision making and direct patient care activities as needed
EDUCATION REQUIRED
Additional education as a clinician or administrator is desirable.
EXPERIENCE REQUIRED:
Minimum of two years previous supervisory level experience required preferably in a physician practice setting.
