Procurement Coordinator - MA
I. Job Summary Provides basic administrative and project support to the activities involved with the procurement of goods and services. II. Essential Duties and Responsibilities include the following. To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Other minor duties may be assigned. - Assists buyers and other Purchasing personnel in researching and answering order questions, following up on placed orders as to expected delivery, processing of returns, etc.
- Contacts suppliers, either verbally or in writing, and places orders requesting or communicating delivery information to purchasing personnel. Maintains records and logs as to purchases made and generates reports as needed.
- MA Coordinators with Aestiva responsibilities are additionally assigned the duties listed:
- Reviews and reconciles assigned PCard activity within purchasing card program user guide procedures via the PCard system.
- Ensures all PCard purchases are correctly processed for payment.
- Utilizes and analyze computer reports related to PCard processes, includes PCard statement reconciliation.
- Prepares monthly PCard boxes for shipment to WMSC
- Receives incoming mail, bursts, and routes to appropriate personnel, ensuring attention to urgent or important information. Answers telephone and gives information to callers or routes call to appropriate personnel for question resolution.
- Assists with the maintenance of manual and computerized records and documentation pertaining to past activities, order specifications, supplier specifications and performance histories, etc.
- Maintains appropriate level of office supplies for the department, placing orders for low or missing items. Prepares documentation, such as purchase requisitions, check requests, budgets, etc. for department and submits for approval.
- Learns and develops basic skills relating to commodity procurement through formal training, on-the-job training sessions, formal education, and technical research.
- Places work orders with appropriate department or supplier for malfunctioning office machines and equipment.
