Proposal Coordinator

Proposal Coordinator

This is a 2-3 month contract position

Job Purpose:

Responsible for supporting the proposal process to create high-quality customer-focused proposals; Provide sales and proposal teams with communications media and materials to effectively represent offering in proposal documents;  Identifies/selects or designs/develops graphics that supplement bid/proposal team win strategies;

Key Responsible Areas:

Set-up and maintain a high quality proposal production environment and procedures. Select or design/develop graphics and other content that complement proposal win strategies, illustrate customer key issues and support/clarify descriptive input to proposal documents;  Lead specialized and/or complex proposal production efforts; Maintains libraries and database applications and generates recurring and Ad Hoc reports; Provides information and assistance to Proposal Coordinators;

Key Deliverables: 

Graphics and illustrations input to Executive Summaries and other proposal documents;  Proposal document layout, art, and color pallets;  Draft Executive Summary documents;  Final proposal documents that have complex or sensitive information requirements;  Maintenance and access to database applications and shared network drives for the department; Recurring and Ad Hoc reports;

 

JOB RESPONSIBILITIES:

Development of Proposal Strategies

·         Ability to analyze customer Key Issue Analysis and the Features, Benefits and Proof points and win strategies from proposal teams

·         Ability to design effective styles, templates, and color pallets for proposal documents and CD covers.

·         Ability to design the visual layout of Executive Summary documents, and collaborate in development of the Executive Summary;

Implementing Proposal Strategy

·         Ability to translate proposal-specific win strategies and value proposition content into compelling draft Executive Summary documents;

·         Ability to identify and recommend Executive Summary graphics relevant to customer issues and proposal win strategies;

·         Ability to use graphics libraries and applications to develop art, graphics, and illustrations, and integrate them into proposal documents;

Proposal Development

·         Ability to work with proposal team authors to conceptualize ideas from information furnished in oral form, rough sketches, or written data;

·         Ability to translate facts and features of subject material into graphic terms that best convey intended meaning;

·         Ability to prepare graphics, illustrations, artwork, and other materials for inclusion in written proposals;

·         Ability to design and produce professional page layouts;

Proposal Project Management

·         Ability to coordinate space and IT equipment, supplies and services requirements in support of large proposal teams;

Proposal Production

·         Ability to maintain a high quality proposal production environment for editing, proofreading, and printing proposals;

·         Ability to understand best practice for document styles, format and visuals, and the use of master pages, styles, and templates in document production;

·         Ability to ensure sufficient supplies (i.e., tabs, binders, premium paper, CD’s, etc.) are available and coordinate procurement of proposal production supplies and services;

·         Ability to coordinate and manage outsourced design and production requirements with external graphics and print shops;

·         Ability to review and edit proposal documents and provide input/direction to authors;

·         Ability to utilize industry-standard software to create illustrations, scan and edit photo images, and produce proposal documents;

Information / Intelligence Gathering

·         Ability to maintain proposal document templates that comply with corporate branding and legal requirements;

·         Ability to recognize scope for re-using content from previous proposals and use internal and external reusable content in similar bids/proposals;

·         Ability to add to the knowledge base of reusable content;

·         Ability to provide document management support for management and administration documents;

Key Relationships and Purpose:

Internal:

·         Proposal Managers – supporting multiple simultaneous proposal teams;

·         Proposal Coordinators – provide and maintain proposal production work procedures;

·         Core 3 Teams – request input to graphics and illustrations requirements, reviews and approvals;

·         Proposal Review Teams – ensure proposal graphics and illustrations are revised to reflect input;

·         Sales Process & Tools Manager – support compliance to global and local directives and processes

·         IT department – coordinate IT requirements for proposal teams;

·         Space/Facilities department – coordinate space requirements for proposal teams;

External:

·         Customer Interaction – communicating regarding proposal submission information

·         Printing companies – manage completion of outsourced printing and graphics to the proposal timeline;

·         Shipping/courier companies – manage on-time delivery of proposal documents/binders to customers;

 

 

MINIMUM EDUCATION AND EXPERIENCE REQUIREMENTS:

Skills, Experience and Education:

·         Bachelor’s Degree preferably in Business and/or Engineering or an equivalent combination of post-secondary education and experience;

·         Three to five years’ experience in MS-Office and graphics applications, and/or related functional areas;

·         Three years related sales support experience preferably in the field of Telecommunications;

·         Must have recent experience and direct responsibility supporting major proposal efforts, including the creation of proposal themes, look-and-feel, and graphic design/artwork in a proposal production environment;

·         Experience and full understanding of the proposal response process, and working knowledge of Proposing to Win processes and tools;

·         Has, or is pursuing Association of Proposal Management Professionals (APMP) foundation level certification;

·         Strong communicative skills, and exceptional writing and editing skills;

·         Advanced level experience with WINDOWS and PC applications, including ACROBAT, WORD, EXCEL, POWERPOINT, OUTLOOK, ACCESS, PUBLISHER, and industry-standard graphics software applications;
