Job Description

Public Finance Coordinator

SUMMARY:

A specialist to perform transaction and marketing coordination within the Public Finance department. Prepares, organizes and reviews detailed documents for municipal transactions. Follows all steps of the municipal bond financing from client presentations through closing. Core skill set should include high-level communication and organizational skills. Advanced computer skills (excel, PowerPoint, Word).

ESSENTIAL DUTIES AND RESPONSIBILITIES:

1. Provides high level support to Managing Director and other senior bankers in the Southeast to ensure client needs are met.

2. Reviews and coordinates bond offering and legal documents for municipal transactions. Communicates financing details with working group as well as internal contacts.

3. Serves as marketing coordinator for Public Finance location, including conference coordination, advertising and event planning to increase Baird’s profile in the Southeast.

4. Assist Managing Director in complying with all industry and company policies and regulatory record retention and reporting requirements.

5. Performs advanced word processing, database and spreadsheet applications including merge letters, memos, reports, proposals and RFP’s, presentations and purchase agreements.

6. Coordinates working group conference calls for bankers. Answers incoming telephone calls; provides information or refers callers to the proper staff; answers inquiries requiring knowledge of the department’s overall function.

7. Plans, coordinates and arranges functions for bankers (client meetings, luncheons, etc). Makes travel and accommodation arrangements, prepares itineraries and expense reports, and coordinates with bankers their daily calendar to keep them informed of upcoming events.

8. Performs other duties as requested by staff.

QUALIFICATIONS REQUIRED:

1. 3+ years experience in high-level Executive Assistant position. Experience in coordinating projects with multiple details & deadlines. Experience in handling highly confidential information important.

2. Exceptional computer skills including Word, Excel, Access, Mailmerges, Power Point and e-mail. Ability to learn specific industry software.

3. Excellent grammar, editing and proofing skills required. Attention to detail a must.

4. Ability to tolerate peak workloads, multiple assignments and produce results with accuracy and reliability. Ability to demonstrate a calm demeanor and retain composure in stressful situations.

5. Strong commitment to provide exceptional customer service. Excellent people/communication skills.

6. Excellent organizational skills - ability to prioritize daily workflow to effectively meet deadlines. Ability to work independently in a fast-paced team environment with minimal supervision.
