Under general supervision and acting on own initiative and direction, performs varied routine and non-routine administrative support duties for one or more supervisors, managers, individual contributors, or organizational unit. Acts as an information source on organizational policies and procedures; participate in planning of functions; administer organizational correspondence control and provide assistance to department members. Gathers, collects, records, tracks and verifies data and information from multiple sources. Compiles, reviews and analyzes data. Uses software for functional area to compile and generate reports, statistics, timelines, tables, graphs, correspondence and presentations. May design processes to enhance work flow. Provides data and information to others on functional unit processes and procedures.
Primary Duties and Responsibilities
Performs a variety of routine and non-routine administrative functions in support of an organizational unit by assisting administrative, technical and/or management personnel. Gathers information, prepares standard and special reports, and maintains records.
Works under moderate supervision, with regular review of completed work and some review of work in progress.
Coordinates and tracks activities/projects that require knowledge of standardized procedures and guidelines in support of department-specific functions: e.g. maintaining department data manually or on a PC, running standard reports, initiating and tracking purchase orders, etc.
Works on special projects, as assigned, which may involve the application of technical, accounting, or budgeting knowledge, or similar knowledge/skills pertinent to the function involved.
Researches, analyzes, and locates data and/or materials. Reconciles records.
Composes routine correspondence.
Searches files and records, makes personal contacts to obtain specific information, and prepares detailed reports.
Responds to routine requests for information by phone or e-mail or in person.
Maintains files/records in established files/systems and retrieves upon request or by schedule.
Provides guidance on organizational and company policies and administrative procedures.
Participates in government, internal or external audits.
Conducts inventory of materials and/or data, etc.
Coordinates/schedules work and/or people for assigned area
Greets customers and visitors; directs or escorts them to the appropriate place or individual and answers general questions. Follows security and safety requirements (i.e. issuing badges, logging personal equipment, recording arrivals and departures, issuing personal protective equipment (PPE).
Makes and/or assists with arrangements for travel, meetings, tours, conferences, seminars, etc., including scheduling rooms, planning and ordering refreshments, and arranging for equipment.
May perform general administrative tasks such as making copies; filing; record keeping; data entry; opening, screening, and distributing mail; answering telephone calls; taking and relaying messages; ordering office supplies, etc.
Maintain a safe work environment and ensure compliance with safety objectives and policies.
Share responsibility of self-development with immediate supervisor.

Key Job Requirements
Preferred Education / Experience: High School education + 2 years experience minimum Relevant coursework or training. Prior experience in a Procurement/ Puchasing Dept preferred.
Relevant work experience in the defense industry.
Relevant work experience within BAE Systems.
Minimum Knowledge, Skills, Abilities: Working knowledge of, and ability to apply administrative practices, policies and procedures for the relevant functional area.
Excellent oral and written communication skills.
Intermediate level proficiency with word processing, presentation, spreadsheet, database, email, and calendar software.
Ability to gather information from a variety of sources and generate reports.
Working knowledge of the organization's structure, management, and policies.
Excellent time management and multitasking skills.
Ability to use independent judgment to resolve non-routine issues.
Ability to direct the work of other administrative staff.
Ability to work effectively with other personnel, inside and outside of the organization.
