Job Description: |
| The Records Retention Manager will be responsible for planning and implementing a comprehensive records management program for cost-effective retention, cataloging, and disposal of records in accordance with federal, state, and Government Contracting Regulations (FAR and AIDAR). Responsibilities: • Designs and executes a comprehensive system of internal controls which provides reasonable assurance that operations are effective and efficient, assets are safeguarded, financial information is reliable, in compliance with applicable laws, regulations, policies, and procedures. Plans the records management program for both Indirect and Direct records for multiple departments. Evaluates records and makes recommendations for optimal methods of storage in relation to the life of the records and their value. Makes decisions based on cost, risk, convenience, and other pertinent variables. • Conducts surveys to document paperwork flow and requirements for disposition. Develops and updates a retention schedule for records and a manual of operating procedures for records retention, storage, and destruction, as well as associated records management forms. Secures approval from Finance and Auditing for all document destruction decisions. • Manages inventory of off-site warehouse storage of records to include retention, disposal, and retrieval of these records. Recommends, documents and oversees multiple department file rooms for use by multiple departments which includes automated indexing and tracking systems for storage and retrieval of files. • Determines equipment needs and budget for digital imaging applications to an Enterprise Content Management System (ECM) and oversees the process of procurement and implementation. • Supervises personnel in the operation of equipment. Schedules work assignments for all records retention initiatives. Prepares the records retention annual budget, authorizes expenditures, and monitors performance against the budget. Sets and monitors the goals and objectives for the records area; formulates and supports requests for the company 5 year plans; and prepares an annual report. Reviews, assesses, and introduces appropriate new processes and technologies in records management at the Company. • Serves as a resource specialist and offers consultation in emerging industry standards and regulations concerning the storage and disposition of corporate records. Assesses and recommends new records retention processes and technologies. Conducts research as needed to assist departments with special records needs. • Works with OIMT and Operations to make decisions in the following areas of Information Services: scheduling work assignments, determining equipment needs, procurement, personnel actions and operational decisions. Discusses and reviews decisions with Vice President, OIMTT and the Director of Administration. • Performs other related duties as assigned. |
| Basic Qualifications: |
| • Bachelor's degree or its equivalent. • Five to seven years of related experience in the areas of records retention, scheduling, micrographics, applications of technology in records management, warehouse storage of records, and document control, including a minimum of three years supervisory experience. • Strong interpersonal skills, the ability to interface with a wide variety of people in all schools, administration, information technology, and the ability to make systematic inquiry, analysis, and documentation of diverse office operations and procedures. • Background knowledge of accounting principles and digital imaging applications would be beneficial.
