| Description | POSITION SUMMARY: As a member of the Ophthalmology research administrative team, the incumbent performs research administration duties required for financial management of grant awards (pre- and post-awards) in direct support of the Dept. of Ophthalmology’s research faculty and staff. The incumbent serves as a front-line resource for researchers in the Department, acting as a liaison to internal administrative units and external sponsors on matters relating to ophthalmology research financial management. ESSENTIAL FUNCTIONS: 1. Coordinate grant proposal submission processes: review/interpret sponsor guidelines and forms; prepare budgets and other application and administrative documents and forms; gather and integrate materials from external participants (collaborators/subcontractors) as necessary; obtain requisite internal approvals; manage the input of proposals into on-line submission systems (InfoEd) when required; serve as contact point for staff from MEEI Research Administration Office (RA) to answer questions and resolve issues during institutional review process; provide necessary follow-up to ensure successful transmission of proposals to sponsor. Be prepared to implement budget if research grant is funded. 2. Assist with sponsor inquiries and pre-award requests. Reviews award documents and meets with PIs to determine and implement new personnel assignments; arrange for budget revisions, sub recipient agreements, etc. as needed. Working with the Research Administration develops budgets and reviews financial instruments such as Subcontracts, Memoranda of Understanding and Purchase Orders with recurrent invoicing. Tracks all invoices/expenditures on financial instruments. 3. Monitor and reconcile grant, contract, discretionary, departmental accounts monthly: review MEEI financial systems reports, analyze data and identify discrepancies; investigate and resolve inappropriate entries; assist Principal Investigators (PI) by providing accurate financial reports and forecasts, arranging corrections and adjustments to rectify errors or overdrafts; provide information for rebudgeting, project extension requests, interim support needs, personnel cost changes, etc. 4. Assist PI with the filing of project progress reports; participate in the compilation, organization and submission of progress reports for various departmental grant awards. Work with RA and the PI to close out awards in a timely manner. 5. Coordinate the collection of time and effort reports received from RA. Communicate with PI to make sure that correct information is certified and ensure that personnel changes are reported in a timely manner. 6. Update PI on institutional policies, procedures, sponsor requirements and regulations on matters pertaining to research compliance; assist with the timely completion and processing of forms for review of research protocols, such as those related to research with human subjects and care and protection of animals. 7. Support the utilization and monitoring of a variety of departmental accounts and their budgets. Process purchase and reimbursement requests, invoices, etc. Maintain existing databases for tracking and reporting expenses. 8. Serve as a general resource to research faculty, staff and administrative personnel to resolve problems, arrange services, provide follow-up, and assist withal aspects of financial management of their research programs. 9. Participate in continuing education and professional research administration organizations to further development of skills. |
| Requirements | College degree with 1 to 3 years experience in research administration (highly preferable); business or accounting is desired. MBA or equivalent required. Strong organizational, problem solving, customer service and interpersonal skills, along with keen fiscal and accounting skills and attention to detail are needed. Effective oral and written communication skills, the ability to coordinate multiple job tasks and to work independently to identify, investigate and resolve problems, prioritize and complete responsibilities (often within strict deadlines) with minimal supervision are required. Familiarity with and understanding of principles, methods, systems, processes, and regulatory requirements related to research administration are needed. Proficiency in MS Office software (Access, Excel, Word) is vital. |
