Reporting to the Regional Manager, the Sales Support Officer provides administrative, marketing, and sales support to the Senior Financial Advisors located in the Investment Center by coordinating activities, developing and producing reports, and other related office support duties. Responsible for assisting the Senior Financial Advisors in servicing the UnionBanc Investment Services internal and external customers and prospects of the Bank. These activities include:

Create/develop/update/distribute monthly and/or quarterly reports for internal referral sources and external vendors. These reports provide referrals, new business, and product allocation information to be distributed to internal and external sources. Information must be gathered from a variety of sources, compiled and reorganized into and easily understandable format. Conduct research and data analysis for special and on-going departmental projects. 25%
Assist in the planning/coordination process for the numerous events conducted by UBIS Senior Financial Advisors include researching options regarding location, catering, on-site coordination, etc. These would include client appreciation events, seminars, sales meetings, various trainings, regional meetings and other investment center events. Prepare reports and recommendations. Facilitate the development of marketing and training materials utilized by UBIS sales including advertising, posters, flyers, training materials etc. 25%
Create various presentations and proposals as needed by UBIS sales and/or sales management. Provide support to Senior Financial Advisors by scheduling meetings for them with designated prospective clients. Provide administrative office support for the Senior Financial Advisors and Regional Manager of UBIS by typing drafted letters and memoranda, and by developing spreadsheets and reports. Answer routine incoming calls from clients and prospects. Refer more complex questions to Regional Manager and/or Senior Financial Advisor. Perform other duties as assigned. 25%
Perform various support activities by responding to questions relating to departmental operations, sorting mail, distributing reports/newsletters, etc. Process and coordinate department accounts payables and expense vouchers. Keep manager informed of business development activities to ensure compliance. Prepare routine correspondence responding to requests or inquiries which require detailed knowledge of department functions and policies. Monitor and maintain office supplies and inventory by contacting internal departments and/or vendors as appropriate. Monitor office equipment and contact vendors for routine preventive maintenance and repairs. Establish and maintain the Investment Center office filing system to ensure efficient and effective retrieval and storage of documentations and records. Proficient with MS Office: Word, Excel, Outlook, etc. Strong project coordination skills, and ability to efficiently multi-task. Excellent written and verbal communication skills. Professional demeanor is required, along with extraordinary ethical and interpersonal skills, a strong team orientation, and resiliency. FINRA licenses 7, 65 and/or 66, California Life and Health. Bachelors degree, or related professional certification, with 3 + years related experience strongly preferred. The ideal candidate has 3 or more years of stable and progressive experience as a sales support professional. Investment and/or Financial Services background is required.
