Senior Administrative Assistant - Honolulu, HI
 
Position Description:
The QExA Senior Administrative Assistant provides administrative and clerical support to the Service Coordination and Medical Management clinical teams.  This position reports to the Director of Medical Management.
 
Primary Responsibilities:
  • Perform administrative and office support activities for the team, including fielding telephone calls, receiving and directing visitors, and scheduling, planning, and documentation of meetings

  • Support on-boarding of new team members

  • Support the executive management team of the organization

  • Prepare reports and financial data

  • Coordinate office space and equipment maintenance including ordering of supplies

  • Expense management

  • Coordinate travel arrangements

  • Other duties as assigned

Qualifications:
  • High school education or equivalent experience is required.

  • Proficient - Intermediate skill with Microsoft Word, Excel, PowerPoint and Outlook is required.

  • 2+ years - Working in an Administrative Assistant role supporting the senior management and staff is preferred.

  • 2+ years - Travel arrangements, scheduling meetings, maintaining calendars and expense reporting is required.

  • 2+ years - Experience preparing and writing correspondence and handling information of a highly sensitive and confidential nature is required.

  • 3 years -   Demonstrated experience interacting with internal and external clients is required.

  • Healthcare industry experience is required.

  • Project management/Project coordination experience is preferred.

  • Able to handle sensitive and confidential information

  • Demonstrates cultural competence and sensitivity

  • Critical reasoning and analytical skills
