Job Description
The PCAOB has a full-time, regular position for a Senior Administrative Assistant in the Division of Registration and Inspections at its Atlanta, Georgia office. This key role provides administrative support to the Regional Associate Director and staff. This role requires someone who thrives in a multi-faceted professional environment.
Responsibilities
· Perform a variety of administrative tasks and moderately complex assignments under limited supervision;
· Plan and organize work to meet requirements;
· Interact with various level contacts inside and outside the organization;
· Maintain standards of confidentiality with respect to all matters and documents;
· Ensure high level of accuracy in all details and manage priorities;
· Prepare budgetary information in accordance with goals and objectives;
· Research assignments, processes, and analyze data;
· Use various PC software packages, including spreadsheets, word processing and graphics to produce high quality reports, tables, graphs, presentations, and other documents; and
· Perform administrative duties:
- Maintain the calendar using Outlook;
- Schedule and organize appointments, meetings, and conferences;
- Write, edit, and proofread correspondences, reports, proposals and various other documents;
- Create, organize and maintain confidential files and records;
- Coordinate travel arrangements and process expenses;
- Review status reports and budgets;
- Supervise the Receptionist/Office Coordinator; and
- Other duties and special projects as needed.
Qualifications
· BA or BS in Business Administration or related field preferred;
· Minimum of 10 years of experience of solid administrative experience in a professional atmosphere;
· Typing: 70+ wpm;
· Proficient in Microsoft Word, Excel, PowerPoint, Internet Explorer, and Outlook applications;
· Excellent written and oral communication skills;
· Ability to effectively communicate with all levels of management, co-workers and external parties;
· Solid time management, organization, and prioritization skills;
· Ability to meet deadlines and make effective decisions;
· Ability to handle confidential matters with professionalism and discretion;
· Ability to multi-task, work effectively under pressure, and be flexible;
· Ability to work non-standard hours and overtime as needed in a fast-paced, team-oriented environment;
· Able to work with limited supervision;
· Self-starter and a high degree of initiative;
· Detail-oriented and proactive; and
· Must have a professional positive attitude and have strong administrative/problem solving skills.
