Job Description
The Senior Event Coordinator supports the event operations and the event sponsorship sales teams to ensure the smooth coordination of a minimum of 10 Executive events and 20-30 webinars per year.
Duties will include
- Coordinates and helps arrange on-site events (meal functions, room layouts, sleeping room bookings, team travel coordination, etc.)
- Work with graphics team on weekly brochure & website edits as well as helping create flyers and signage
- Coordinate event assignment spreadsheets and timelines.
- Sourcing and researching for different venues and activities globally
- Involvement in creating collateral for events
- Involvement in shipping of material to events
- Work on themes and entertainment selection, menus, décor
- Generate letters, invitations and participant lists for events
- Involved with daily activities including, data entry, accounting, graphic edits to presentation material, gathering attendee information, processing of new sales, collections, special projects
- Light lifting required, must have the ability to lift and move 20 lb. Boxes of literature and sponsorship/exhibit material
- Update sales documents, presentations, and meeting packets for events
- Some sales support including activity tracking, lead generation, filling requests for proposals, crafting proposals, processing client orders, tracking sales reports, maintaining internal sales centric database system, recording and transcribing all meeting minutes and internal sales training sessions. Some cold calling and scheduling calls for AE’s
Requirements
- Minimum 1-2 year work experience or student internship in the events industry
- Must have ability to multi-task, managing multiple people and multiple projects
- Proficient in Microsoft Office including Word and Excel, Lotus Notes and Powerpoint experience a plus
- Must exude strong interpersonal and communication skills (verbal and written)
- Must be extremely organized and detail-oriented
- Must be able to manage deadlines in a fast-paced environment
- Must be team player
- Must be a problem-solver & forward-thinker
- Must be cost conscious and be able to stay within budget parameters
- Must have experience in field or related field
- Must have excellent “phone etiquette” and ability to establish rapport with vendors
- Must be internet-savvy (‘online event/webinar’ experience a plus)
