Honeywell Safety Products manufactures and markets a full line of personal protective products for workers in the general safety and preparedness, fire service and electrical safety industries. As a Sr. Administrative Assistant you will be tasked with providing administrative, clerical and project support to the Business Unit President, the Vice President of Finance and other functional personnel by assuming the responsibilities of:
1. Providing administrative support for day-to-day activities and long-term projects in the department or functional area.
2. Generating graphics, slides and presentation materials such as business summaries, flow diagrams, org charts and other reports for internal and external use. Creating spreadsheets as needed to track and summarize data.
3. Maintaining electronic calendars, scheduling meetings and activities, re-scheduling as needed. Coordinating conference calls and other telecommunication requests; this would require thorough understanding of all telecommunication features.
4. Making travel arrangements for one or more members of the Sr. Mgmt team, working to schedule flights, ground transportation, accommodations. Scheduling itinerary, meetings, and related activities. Proactively preparing necessary materials ahead or with manager for meetings, presentations, etc.
5. Handling arrangements for all types and levels of meetings, both internal and external. Coordinating items such as reserving adequate meeting space, determining A/V requirements, meal arrangements, transportation and lodging, etc.
6. Daily communication with all levels of the organization. Continuous contact with internal and external parties will be required to handle questions, resolve issues and provide information.
7. Responding to routine messages or inquiries on behalf of Executive staff. Uses judgment to determine if message or inquiry requires other than routine handling.
8. Preparing responses to mail of a routine nature for review and signature of appropriate personnel. Devising and submitting documents/memo's for review and signature, making copies as needed and handles mailing or distribution.
9. Researching and gathering data and information, assisting in analysis of data, compiling results, developing finished materials. Working individually or as part of a team, taking responsibility for planning and carrying out special events or activities for division/functional area.
10. Maintaining existing electronic and hardcopy filing/record keeping systems, keeping them current, accurate and accessible to those who may need stored information.
11. Handling sensitive information requiring a high degree of discretion and absolute confidentiality.
12. Actively utilizing quality skills training and participating in all activities related to improving all products and processes impacted by this position.
13. Performing other similar and related duties as required.
Basic Qualifications:
High School Diploma
7+ years Administrative Assistance experience
7+ years Microsoft Word, Excel (pivot tables, tables/graphs, importing/exporting data), PowerPoint, Outlook and Access (data entry, creating and running queries) experience
Additional Qualifications:
Bachelors Degree strongly preferred
Strong business communication skills; clear, professional verbal and written communication.
Excellent organizational skills and be able to prioritize.
Flexibility and adaptability (due to changing priorities and interruptions) are essential.
Strong customer service orientation and interpersonal skills; approachable demeanor and positive attitude.
