Main Job Function: Supports multiple business lines in Thales USA Defense & Security, Inc. business. This position is responsible for timely and accurate review, posting and payment of invoices, issuance of expense checks, and accurate reporting to units and outside agencies. Resolves billing questions and discrepancies and maintains accurate records.
Primary Job Responsibilities:
Accounts Payable (50%)
· Review, Code and Process book keeping and payment for all invoices ensuring all supporting documentation has been received and approved in accordance with Thales USA Defense and Security, Inc. policy.
· Maintains prepaid and accrual accounts
· Review and process all employee expense reports in accordance with Thales USA Defense and Security, Inc. Travel Policy
· Issues checks in a timely fashion
Accounts Receivable (20%)
· Responsible for preparation of invoices for government customers: FP and T&M contracts, in accordance with the contract terms and conditions.
· Perform monthly reconciliation of unbilled receivables
· Review aged receivables report to identify unpaid invoices. Work with customers to handle inquiries and resolve disputes to resolve outstanding collections.
Miscellaneous Accounting (30%)
· Issue Purchase orders
· Reconcile PTO balances for all division under Thales USA Defense and Security, Inc.
· Maintain fixed assets and depreciation schedule
· Assist with Trade Compliance for imports
· Maintain Petty Cash
· Prepare 1099 and 5472 forms
· Reconcile monthly Intercompany balances
· Prepare Credit Applications
· Assist with monthly close
· Assist with other department duties as necessary
Job Requirements:
· Effective communication skills to interact professionally with all levels in the organization and with outside contacts
· Demonstrate ability to effectively manage customer inquiries and dispute resolution
· Organized and disciplined to ensure compliance with procedures, yet confident enough to propose simplifications and better efficiencies
· Flexibility to take on additional projects and adapt to changes in priorities
Essential Job Skills:
· Experience with government contracts
· Knowledge of FAR/DFAR clauses
· Experience with Joint Travel Regulations (JTR)
· Exceptional computer skills, with an emphasis on Excel and financial software.
· Microsoft Dynamics SL experience preferred
Education and Experience:
· 3 to 5 years of government contracting experience
· Bachelors Degree required, degree in accounting or finance highly preferred
