SUMMARY

Coordinates process for US nonimmigrant entertainment work visas for foreign based artists and acts as interface between clients, the US Government and foreign consulates.

 

ESSENTIAL DUTIES AND RESPONSIBILITES

Include the following.  Other duties may be assigned. 

Ø  Prepares and coordinates forms and applications process.

Ø  Creates and updates client files and databases

Ø  Creates and maintains amiable relations with clients, representatives and consulates as most communication is through email, telephone and fax.

Ø  Follows government regulations as required and defined for the work being performed for the client.

Ø  Follows up via phone and email with clients and consulates to ensure questions are answered and paperwork is delivered on time and complete

Ø  Manages reminders to ensure deadlines are met.

Ø  Exercises tact and good judgment with highly sensitive information.

Ø  Writes emails, memos and letters, and completes necessary forms.  Must proofread and edit own work.

Ø  Anticipates variable situations based on experience and balances conflicting needs to ensure deadlines are met and clients are satisfied.

Ø  Ensures follow-through to completion on all projects.

Ø  Creates forms in MS Office to facilitate process.

Ø  Other duties including company tasks as required.

QUALIFICATIONS

Education/Experience

Associate's degree (A. A.) or equivalent from college or technical school;  or 2 – 3 years minimum experience in an administrative capacity in increasingly responsible roles; music industry preferred.

Language

Ability to read, analyze, and interpret common scientific and technical journals, financial reports, and legal documents. Ability to respond to common inquiries or complaints from customers, regulatory agencies, or members of the business community.  Ability to write speeches and articles for publication that conform to prescribed style and format.  Creative writing experience is helpful.  Bilingual language skills in English and Spanish preferred.

 

Math

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry

 

Reasoning

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Computer Skills

To perform this job successfully, an individual should be proficient in Microsoft Office; Word, Excel.  Have strong data entry and typing skills and be internet savvy.
