Job Functions:
- Routine Administrative responsibilities including
- Calendar management for IT Director and Department managers, coordinating staff meetings, taking notes and follow up on action items.
- Works closely with other department administrators and external business vendors as needed, manages communications and calendar activities
- Executes special or continues research-type work and data analysis tasks
- Develop and maintain the database of important contacts/contracts
- Screen and direct (route) incoming telephone calls and messages in a timely manner
- Sort and prioritize mail, determine routing and maintain follow-up system
- Coordinate and schedules calendars and meeting to manage priorities and avoid conflicts
- Make travel arrangements and orders office supplies
- Generate weekly metrics and reports and publish accurate numbers
- Develop and manage documents for easy access – paper and using collaboration sites
- Track financial (and budget) information and issues purchased orders for the department
- Assist in the creation/implementation of processes to support the organization
- Orders, tracks and maintains log of all cell phones, broadband cards, blackberries, etc
- Maintain internal EPRI forms website and IT Technology Department website
- Analyzes problems, determines approach, compiles and analyzes available data and makes recommendations in a timely and accurate manner
The ideal Candidate:
- Excellent computer skills, including high proficiency and knowledge of Microsoft Office (Word, Excel, Power Point), Sharepoint and other Internet-based tools/systems to navigate Internet
- Prior experience and expertise in use of a variety of technologies/business systems – including Project Management tools, ERP/CRM, Ticketing systems
- Demonstrated ability to traverse the technology landscape and learn/adapt quickly to new technologies
- Excellent organizational skills and attention to detail
- Excellent oral and written communication skills
- Ability to work under pressure and meet short deadlines, while supporting multiple staffs members
- Ability to support multiple functions and leaders in a complex matrix environment
- Ability to prioritize work and manage multiple responsibilities
- Open flexible approach to work with environment and job responsibilities
- Strong cooperative teaming attitude
- Ability to work effectively with all levels of internal and external customers Understand and maintain confidentiality of sensitive topics
Education Level and Years of Experience:
- Minimum two year AA or AS degree in business or related study with some IT coursework.
- Minimum 5 years in a progressively challenging senior administrative assistant function. Experience working in a matrix organization.
