Accounts Payable/ HR Assisant

About the Job

II Job Summary
Provide Accounting and Human Resources support to Merced facility.
Staff of 25 employees at plant

III  Essential Functions
Accounting Functions
1.)Responsible for processing invoices, AP coding and data entry.
2.)Prepare payroll journals for entry
3.)File City/State/County Consumer use taxes monthly
4.)Negotiate long payment terms with new vendors
5.)Keep PO Log for all production/safety/office requests
6.)Update Vendors on payment status/delay payment of vendors when possible
7.)Monitor lease contracts & building maintenance (lawn care, copier, forklift. Etc)
8.)Create and maintain Excel spreadsheets.
9.)Assist month end closing in a timely & accurate manner.
10.)Monitor accounts and analyze variance to budget.
11.)Assist with plant budget development 
12.)Prepare weekly production and efficiency reports for Senior Management
13.)Perform material usage analysis as required.
Human Resources Functions
1.)Responsible for the daily maintenance of the E-Time software and hand punch.  Duties include reviewing/modifying punch edits,  
enrolling and terminating employees, run daily hours report and overall maintenance of E-Time.
2.)Process payroll for all salaried and hourly employees at the facility.
3.)Report Worker's Comp claims on a timely basis.
4.)Handle all pre-employment items for new hires, new hire orientation and benefits enrollment.
5.)Review, maintain and submit monthly Benefits Premium Report to Corporate HR.
6.)Create and maintain all personnel records.
7.)Assist with exit interviews and handle the termination process when employees leave.
8.)Maintain benefits systems for all employees - enrollments, changes, terminations, etc.
9.)Create PAN's and forward as applicable to employee's file and Corporate HR.
10.)Complete employment verifications.
11.)Respond to requests for information from Corporate HR and other internal departments as needed.
12.)Maintain accurate hours reports to be submitted to PM & controller
13.)Manage staffing of temps in coordination with PM
14.)Work with PM to reduce labor hours when feasible
15.)Various other duties as assigned.
Other Functions
1.)Maintain safety records/OSHA compliance forms.
2.)Administer OSHA required training. 
3.)Coordinate weekly safety meetings.
4.)Conduct safety inspection of facility. 
5.)Manage all outside safety inspections as required by OSHA.
6.)Maintain stock of safety required PPE & reevaluate PPE as needed.
7.)Formulate and suggest work safety standards, and enforce procedures in conjunction with PM, WC & Charles Brooks.
8.)Coordinate safety program to protect employees against harm, and maintain safe working conditions.
9.)Fill in for purchasing agent as needed.
10.)Complete standard cost rollups.
IV  Job Qualifications
1.)Minimum Bachelors Degree or equivalent work experience
2.)Skill in using Microsoft Excel and Word 
3.)Mainframe computer software experience
4.)Experience with Human Resource Software
5.)Excellent people skills
6.)Bi-lingual (English & Spanish)
