Admin Support - Mail/Records Room

About the Job

Come join our international financial services organization located in Long Island City, Queens, as our next Admin Services Assistant I. In this position you will ensure the exchange of documentation and correspondence throughout the organization. Tasks include, but are not limited to filing, scanning, document preparation, record retention, preservation, data entry and mail operations.


ESSENTIAL DUTIES AND RESPONSIBILITIES

The duties listed are intended as illustrations of the various types of work that may be performed. The omission of specific statements of duties does not exclude them from the position if the work is similar, related or a logical assignment.


Ensure that all incoming mail, including all types of packages and boxes, are distributed to the appropriate department and branch location, as well as board and committee members. Also make certain that all outgoing mail has accurate postage to be delivered. Maintain postage account and all mailing equipment.


Resolve incoming delivery discrepancies, as well as maintain tracking numbers for all incoming and outgoing express packages and update mailing procedures as necessary.

Properly scan, index and electronically file organizational documentation as well as member information into the appropriate imaging system as needed by the various departments. Be able to maintain, retrieve, ship and update documents in storage.


Respond to requests to assist with departmental projects including; mass delivery of information, moving large or numerous items between locations or floors and assist purchasing dept with toner /cartridge replacement requests & any other assistance required.

 


Assist with all request for information within the Records

 Room.


Retrieve

 boxes from local and off-site storage as needed. 


Process folder/inserter jobs as they come in daily, weekly, bi-weekly, monthly, quarterly or annually.


DESIRED QUALIFICATIONS

The ideal candidate for this position must possess a basic knowledge of office equipment including

 troubleshooting, good written and oral communication skills, organizational skills, ability to follow verbal and written directions and a willingness to work flexible work hours. Familiarity with TAB Fusion or other records management software experience a plus.


A typical way of obtaining the knowledge, skills and abilities required for the position is a graduation from High School, plus one to two years of clerical/office experience.
