Position Description


Position Title:            Scheduler                                                                    Dept:               Operations


Reports To:                 Manager of Support Services                                     Grade:            A

Purpose of Position: Implements, coordinates and oversees the patient scheduling process.  This includes but is not limited to collaborating with Patient Service Managers to coordinate the assignment of staff to perform patient visits of all types.  Collaborates with Clinical Support Assistant (CSA), team members and Admission Department staff to ensure smooth functioning of all new and existing scheduling processes.



  1. Perform daily scheduling functions including:

·         making daily changes to patient’s schedules

·         assigning staff  to newly written daily service orders

·         assigning staff  to new admissions and first evaluations

·         assigning staff  to cover clinician vacations, sick calls and patient overflow

·         Investigating and maintaining system function for visits not made


  1. Perform Weekly scheduling functions including

·         Running automatic scheduler

·         Adding recertification visits from Expiring Certification Report


  1. Additional duties as assigned as they relate to the scheduling module such as additional and maintenance of model schedule; assist in testing of new features or other scheduling related functions.                               


  1. Participates in weekend, holiday, and on-call rotations.    (5%)


  1. Practices excellent customer service skills in accordance with agency standards.


6.   Performs all work activities in accord with the VNAB’s Compliance Program, all policies and procedures of the Agency and applicable regulatory agencies.    (5%)

·         Attends departmental and committee meetings.

·         Complies with HIPAA and other Agency rules and regulations

·         Participates in activities that enhance self-competence and the agency's performance improvement program


Education/Professional Requirements: 


  • High School diploma with AS preferred. 1-3 years related experience. 
  • Excellent communication, team and interpersonal skills are required.
  • Ability to work independently.  Strong analytical and problem solving skills. Must be well organized and have ability to multi-task.
  • Experience in complex health care clinical applications. Willing to learn new software applications as necessary and able to apply clinical knowledge to assist in improving existing healthcare systems and/or building new clinically-focused applications.
  • Experience with desktop applications such as word processing; spreadsheets, databases and process flow design is necessary (Access, Excel, PowerPoint, Word)
